Dispatcher (HVAC)
Location: Bohemia, NY
Compensation: $25.00-$35.00/hour (based on experience)
Work Schedule: Monday-Friday, 8:00 AM-4:30 PM (Onsite)
On-Call Rotation: Once every 5 weeks (Thursday-Wednesday, 24/7)
Additional On-Call Compensation: $250 per rotation
Position Overview
The Dispatcher is responsible for coordinating and scheduling HVAC service technicians for installation, maintenance, and repair calls while delivering a high level of customer service. This role plays a key part in daily operations by managing technician schedules, serving as a primary point of contact for customers, and supporting service leadership with administrative and reporting tasks in a fast-paced office environment.
Key Responsibilities
Schedule and dispatch HVAC service technicians for installation, maintenance, and repair services
Communicate with customers to confirm appointments, provide status updates, and respond to inbound service requests
Coordinate technician schedules based on availability, skill set, job priority, and location
Monitor service calls throughout the day and make real-time adjustments for emergencies, delays, or cancellations
Accurately enter and maintain job details, service notes, and records within the company system
Support service managers with daily reporting, job tracking, and administrative tasks
Process work orders, invoices, and required service documentation
Conduct customer follow-ups after service completion as needed
Maintain professionalism and excellent customer service in all phone, email, and in-person interactions
Collaborate closely with technicians and office staff to ensure smooth daily operations
Required Qualifications
Prior dispatcher or scheduling experience, preferably in HVAC, construction, plumbing, or skilled trades
Strong customer service skills with experience handling inbound calls
Proficient data entry skills with strong attention to detail
Proficiency with Microsoft Outlook and Excel
Experience using CRM or ERP systems for scheduling and job tracking
Excellent verbal communication and phone etiquette
Strong organizational and time management skills
Ability to multitask and remain calm in a fast-paced, dynamic environment
Preferred Qualifications
HVAC service dispatch experience
Experience with Sampro or similar service-industry ERP/CRM platforms
Strong written communication skills
Administrative support experience in a service-based office
Work Environment
This is a fully onsite role based in Bohemia, NY. You will work alongside approximately 16 office staff and support a field team of 11 HVAC technicians as part of a core 6-person office team. The work environment is fast-paced and collaborative, requiring frequent communication with both customers and field technicians throughout the day.
