Description We are looking for a Customer Service and Logistics Representative to join a team in Virginia on a contract-to-permanent basis. This position supports customers and sales partners by managing inquiries, preparing pricing information, and ensuring orders move through the process accurately and on schedule. The role also works closely with shipping, production, and internal support teams to keep communication clear, documentation organized, and service levels high.
Responsibilities:
Respond to incoming customer calls and messages, address service-related questions, and provide helpful product and order information.
Prepare accurate pricing and quotation details for parts and equipment, maintain records of quoted opportunities, and follow up to support order conversion.
Enter sales orders with complete and precise information for attachments, parts, tracks, and warranty-related items.
Share product specifications, measurements, installation materials, brochures, images, and other resources needed by customers and sales representatives.
Coordinate equipment reservations and related order details for customers who require pre-assigned serial numbers or prepaid arrangements.
Support account follow-up activities by assisting with past-due balances, return authorization requests, and customer communication regarding account status.
Communicate delivery expectations, process order revisions with proper documentation, and ensure updated details are shared with the appropriate internal teams.
Work closely with shipping and production personnel to help prioritize orders, monitor fulfillment progress, and promote on-time delivery.
Review open order activity, drop-ship items, and inbound container updates on a routine basis to keep records current and actions moving forward. Requirements
At least 1 year of experience in customer service, order entry, logistics, or medical billing required.
Ability to manage inbound customer communication professionally while handling multiple requests with accuracy and urgency.
Experience preparing quotes, entering orders, and maintaining detailed records within a business operations environment.
Strong attention to detail with the ability to verify specifications, quantities, and order information before submission.
Comfortable working with internal teams such as sales, shipping, and production to resolve issues and keep orders on track.
Clear written and verbal communication skills for customer interactions, follow-up, and internal coordination.
Proficiency with standard office systems and the ability to learn company processes for order management and documentation.
