About the Role:
As a CBRE Assistant Facilities Manager, you will manage many functions of building operations and maintenance for a facility, campus, or portfolio of buildings.
This job is a part of the Facilities and Maintenance Management functional area which focuses on all aspects of the operations of a set of assets, providing support to the Facilities Managers regarding all repairs and investment plans.
What You'll Do:
Serves as primary contact been clients, external vendors and internal stakeholders for seamless coordination of services. Maintain positive client relationships and conduct meetings on unresolved facility issues.
Conduct routine maintenance inspections, diagnose potential problems, and make repairs.
Perform ongoing preventive maintenance and repairs on mechanical, electrical, and other building systems. Ensure corrective / repair works are carried out in accordance with current regulations.
Assist with the installation and modification of furniture, office table and chairs, additional indoor furnishings, kitchen appliances, lighting replacement.
Thoroughly and proactively investigate faults, identify causes and effect remedies. Directly complete minor repairs, painting and installations where required.
Liaise with building engineer team and vendors to escort and ensure completion of building systems work within tenanted space.
Responds quickly to emergency situations, summoning additional assistance as needed.
Schedule and manage the team's daily activities. Establish work schedules, assign tasks, and cross-train staff. Set and track staff deadlines. Mentor and coach as needed.
Perform facility inspections quality assurance following local, state, and federal regulations, as well as ensuring compliance with service levels. Suggest operational efficiencies and improvements, repairs, and upgrade opportunities.
Respond to client inquires and concerns, ensuring prompt and quality service delivery and conduct follow ups to ensure customer satisfaction
Apply a broad knowledge of the business, own discipline, and how own discipline integrates with others to achieve team and departmental objectives.
Perform and/or manage ongoing preventive maintenance and repairs within office spaces.
Oversee vendor relationships. Review price quotes for the procurement of parts, services, and labor for projects.
Log and manage to completion maintenance Work Orders, review assigned work orders and partner with available systems to track completion. Update and communicate with the client on all ongoing works.
Support office moves by moving crates, assembling furniture, and installing office fixtures.
Support meeting and events by setting up and dissembling furniture and other equipment within meeting rooms.
Inspect existing installations for compliance with building codes and safety regulations.
Communicate work orders to technicians and aid management in problem-solving. Identify and solve technical and operational problems of complexity.
Generate reports on open and closed work orders and verify their status with the appropriate technician or vendor.
Maintain records such as work orders, proposals, and department files.
Create vendor files and check the accuracy of the completed paperwork.
Ensure vendors understand work order and billing procedures.
Process invoices and ensure the correct cost center coding is used.
Assist with the inspections on the facility campus.
Assist with process and procedure training. Improve and change existing methods, processes, and standards within job discipline.
What You'll Need:
Applicants must be authorized to work in the United States without the need for visa sponsorship now or in the future.
Bachelor's Degree preferred with 3 years of relevant experience. In lieu of a degree, a combination of experience and education will be considered. Valid driver's license required. Facility Management certification preferred.
Experience in the areas of staffing, selection, training, development, coaching, mentoring, measuring, appraising, and rewarding performance and retention is preferred.
Ability to lead the exchange of sensitive, complicated, and difficult information, convey performance expectations and handle problems.
Leadership skills to motivate the team to achieve broad operational targets with impacts on own job discipline, multiple job disciplines, and department.

Physical requirements include stooping, standing, walking, climbing stairs and ladders and the ability to lift and carry heavy loads of 40 lbs. or more.
Decision making ability with a general understanding of procedures and company policies to achieve goals and deadlines.
Strong organizational skills with an inquisitive mindset.

The minimum salary for the Assistant Facilities Manager position is $65,000 annually and the maximum salary for the Assistant Facilities Manager position is $95,000 annually. The compensation that is offered to a successful candidate will depend on the candidate's skills, qualifications, and experience.
