We are seeking a dedicated Service Coordinator to support the efficient operations of our service department. This position involves coordinating and dispatching service technicians to address both planned and unplanned maintenance needs, ensuring smooth and effective service delivery.
Responsibilities
Support the performance of operations, including handling planned and unplanned maintenance/service calls.
Coordinate monthly maintenance planning and schedule field technicians.
Act as a single point of contact for customer service requests and emergency calls.
Prioritize service calls based on severity and technician availability.
Qualify service requests to establish response time requirements.
Dispatch appropriate technicians to ensure quick and efficient problem resolution.
Communicate schedules and updates with customers.
Inform the Service Office Manager of work progress and other relevant service operations matters.
Provide effective work schedules to maximize the use of field personnel skills while meeting customer needs.
Audit service reports daily and weekly as per established procedures.
Provide logistical support to optimize labor-hour output.
Maintain an understanding of mechanical systems to make informed scheduling decisions.
Support special projects as assigned by supervisors or managers.
Coordinate with customers to dispatch service technicians to commercial buildings for HVAC or electrical equipment service or repair.
Dispatch up to 20 service technicians weekly within a 1-100 miles radius.
Receive and assess incoming service requests for urgency and nature.
Schedule service appointments for HVAC repairs, installations, and maintenance.
Assign and dispatch technicians based on skill set, location, and workload.
Provide updates to customers on technician arrival times and schedule changes.
Maintain an accurate service schedule with technician assignments and job details.
Monitor service call progress and address any issues with technicians.
Handle daily invoicing of completed jobs.
Essential Skills
Customer service experience.
Dispatch and customer support skills.
Proficiency in Microsoft Office (Outlook, Excel, Word).
Previous coordinating experience, preferably in HVAC dispatch.
Experience with billing systems and TMS systems.
Technical support knowledge.
Additional Skills & Qualifications
High School Diploma or GED required.
Minimum of two years of experience in dispatching or service capacity, preferably in HVAC, electrical, or mechanical service.
Mechanical aptitude to ask questions and anticipate next steps.
Professional communication skills for interacting with customers and team members.
Knowledge of the local service area.
Ability to multitask, be detail-oriented, and possess strong organizational skills.
Capability to make timely decisions using discretion and judgment.
Strong computer skills with Microsoft Word, Excel, and Outlook.
Availability for after-hours dispatching.

Pay and Benefits
The pay range for this position is $28.00 - $31.25/hr.
