Position Summary
The Senior Construction Project Coordinator serves as a critical partner to our Director of Construction – CAPEX. This role is responsible for ensuring projects remain organized, documented, compliant, and on schedule from pre-construction through closeout.
The ideal candidate combines strong construction administration experience with exceptional organizational skills, a proactive mindset, and the ability to manage multiple projects simultaneously. This individual will help drive consistency, accountability, and operational excellence across a growing construction platform.
Key Responsibilities
Project Administration & Coordination
- Provide day-to-day support to Director of Construction and field teams across multiple projects.
- Maintain and organize project documentation, including contracts, drawings, specifications, permits, RFIs, submittals, change orders, meeting minutes, and closeout packages.
- Coordinate communication between internal stakeholders, contractors, consultants, vendors, and government agencies.
- Track project schedules, milestones, deadlines, and deliverables to ensure timely execution.
- Prepare meeting agendas, attend project meetings, and distribute accurate meeting minutes and action items.
Construction Documentation & Compliance
- Manage project filing systems and ensure documentation is complete, current, and audit-ready.
- Track permits, inspections, compliance requirements, and regulatory milestones.
- Support contract administration, including vendor onboarding, insurance compliance, lien waivers, and subcontractor documentation.
- Ensure project records align with company standards, legal requirements, and internal controls.
Financial & Procurement Support
- Assist with procurement activities, bid documentation, purchase orders, and vendor coordination.
- Support invoice review and processing, payment tracking, and budget reporting.
- Assist Director of Construction with cost tracking, change order logs, and financial documentation.
- Maintain accurate project cost records and assist with forecasting and reporting activities.
Project Controls & Reporting
- Monitor project schedules and support updates to construction timelines.
- Track project action items and follow through with stakeholders to ensure accountability.
- Prepare recurring project status reports for leadership and project teams.
- Assist with quantity takeoffs, material tracking, and project cost-control initiatives.
Field Coordination & Quality Support
- Conduct periodic site visits to document project progress and support field coordination efforts.
- Assist with quality control documentation and project punch-list tracking.
- Support RFI, submittal, and shop drawing review processes.
- Maintain as-built drawings and closeout documentation throughout the project lifecycle.
Process Improvement
- Identify opportunities to improve project workflows, reporting, documentation standards, and construction administration processes.
- Support the implementation of technology, automation, and best practices to enhance project execution and transparency.
Qualifications
Required
- 5+ years of experience in construction coordination, project administration, project engineering, or a related construction management role.
- Experience supporting multifamily, commercial, hospitality, or large-scale renovation projects.
- Strong understanding of construction project lifecycles, documentation, and project controls.
- Proficiency with Microsoft Office Suite, particularly Excel, Word, and PowerPoint.
- Ability to review construction drawings, specifications, and project documentation.
- Experience supporting projects across multiple geographic markets.
- Experience with construction management platforms such as Yardi, Procore, Buildertrend, Autodesk Construction Cloud, PlanGrid, or similar systems.
- Excellent organizational skills with the ability to manage multiple priorities simultaneously.
- Strong written and verbal communication skills.
