Oversee day-to-day office operations to support a high-performing construction team
Maintain organized digital and physical filing systems for project documentation and contracts
Respond to calls, emails, and general inquiries in a professional, timely manner
Generate and send client invoices, progress payments, and final billings
Monitor payment status, follow up on outstanding invoices, and reconcile billing records
Support purchase orders, vendor invoices, and expense tracking as needed
Draft and issue construction contracts, change orders, and subcontractor agreements
Collect and verify contractor compliance materials, including insurance, W-9s, and licenses
Ensure all required documentation is complete before contractor onboarding or job launch
Assist Project Managers with material tracking, scheduling updates, and job file maintenance
Keep management tools and spreadsheets (budgets, logs, timelines) up to date
Prepare client packets, project folders, and pre-construction documentation
Act as a liaison between project teams, subcontractors, suppliers, and homeowners
Schedule team meetings, manage calendars, and assist with overall workflow planning
Represent GCB with professionalism in all administrative communications
24+ years of administrative, office management, or construction office experience preferred
Background in residential construction or remodeling strongly valued
Familiarity with contracts, compliance documentation, and construction billing
Excellent organizational and multitasking skills with strong attention to detail
Proficiency in Microsoft Office Suite, Google Workspace, or similar tools
Experience with project management software is a plus (e.g., BuilderTrend, CoConstruct)
Effective communication and coordination skills
Self-motivated and capable of managing responsibilities with minimal supervision
